My role

Lead UX designer

The team

I worked with a cross-functional team including a product owner, front end developer, back end developer and tester. I also had a junior UX designer helping me with UX activities.

The challenge

The Perform system review functionality was quite rigid in that it only allowed direct line managers to input and assess a team member during a review.

We heard from our customers that the manager was not always the most appropriate person to be conducting a review for a team member. For example, those in the construction industry where a project manager is the person with closer contact or in the NHS when nurses are often on different shifts to their direct line manager.

The project goals

Reduce customer support requests for temporary management changes in the Perform system at review time. Customer to use self-service functionality to support the temporary change of a reviewer.

Approach

User journeys

Since we had a lot of insights from customer feedback we started mapping out the journeys that would need to take place. Doing this collaboratively with the team meant it raised considerations early on, for example:

  • what other ancillary information the new ‘reviewer’ would need to access other than the review form itself for the employee
  • whether the ‘reviewer’ could be changed multiple times and the impact on the answers submitted so far.

Prototyping

We produced an interactive prototype in Axure that we modelled around some scenarios ready for testing.

User testing

We conducted moderated usability testing with some customers that had expressed the need for this sort of functionality. We identified some usability improvements that we made prior to development.

We produced the final design assets for the developers, including all edge cases.

Conclusion

There was a good uplift of usage of this feature.
